Application Rules

  1. Preface
    The "Japan Tourism Awards Application Rules" (hereinafter "Application Rules") set forth the conditions applicable when applying to the Japan Tourism Awards Application Office (hereinafter "Office") for the Japan Tourism Awards (hereinafter "Awards"). Applicants submitting for the Awards (hereinafter "Applicants") are considered to have consented to these Application Rules upon making the application, and this applies to all application, whether it is subjected to the assessment process or not. Further, the Awards are exhibited as part of the Tourism EXPO Japan 2025 Aichi/Central Japan, by the hosts, the Japan Travel and Tourism Association, the Japan Association of Travel Agents and the Japan National Tourism Organization (hereinafter "Organizers").
  2. Application Eligibility / Application Method / About Applications
    • Application is accepted only via the Awards website, and all required information must be entered by the Applicant. Note that an entry will not be complete if there is an error in any of the required items.
    • Both self-nominations and nominations from others can be accepted for this award.
      Notes for nominations from others
      - The Recommender must obtain the consent of the Nominee before submitting the application.
      - The Recommender should use appropriate care when handling the Nominee's personal information.
      - When submitting an application, the Recommender must complete all required information on the application form.
    • Application will not be accepted after the application deadline.
    • As long as you meet the eligibility specified in the application guidelines, we do not ask about the number of years an initiative has been in operation, or the corporate status or type of the organization. Further, applications are accepted regardless of experience of winning another Awards or past applications for these Awards. See the "Tourism EXPO Japan 2025 Official Website" for details.
    • Images submitted with the application form should be taken by the Applicant (or an affiliate) or copyright and other rights should belong to the Applicant at the time of application. Only contents which meet all of these Application Rules should be submitted. All or part of the copyrighted work such as photos and images attached to the application materials will be subject to disclosure, regarding copyrights and neighboring rights of copyrighted works such as photos and images, it is the applicant's responsibility to apply with the permission of the author.
    • Always obtain the permission of the subject of any image when submitting images of other people.
    • The maximum file size for submitted images and charts is 30MB in total for a total of 6 items (there is no file size limit per item). Submissions in excess of this will not be accepted. For file formats, please upload photos in JPG, PNG, BMP, and for non-photos, in PDF format.
  3. Assessment / Prize Winners
    • Assessments are conducted by the Assessment Committee (composes of experts from tourism and a range of other fields). See the application notes for details of Assessment Committee members (planned).
    • The results of the selection process will be notified to all Applicants by the Office.
    • Prize winning initiatives are to be widely publicized on the website, etc.
    • An Awards ceremony will take place at Aichi Sky Expo on September 25 (Thu), 2025.
    • We cannot respond to any inquiries about the assessment method or content.
  4. Restrictions & Prohibitions on Contents of the Application

    Please understand in advance that where the content of the application is deemed by the Office to be applicable to the following, said application will be removed from the assessment process without notice and may be canceled.

    (1) If it is offensive or seems likely to be offensive to public order and morals, such as being obscene or violent.

    (2) If it infringes or seems likely to infringe the copyright, image right, intellectual property or other commercial rights, or other rights of a third party.
    * Other rights including the assets, privacy, reputation or trust of a third party.

    (3) If it slanders a third party or infringes the privacy of a third party, or seems likely to do so.

    (4) If it violates the law, is connected with a criminal act, or seems likely to do so.

    (5) If it intends for the purpose of seeking profit or canvassing for sales.

    (6) If it is deemed by the Office not to fit with the purpose of the Awards.

    (7) If it would obstruct the ordinary operation of the Awards or seem likely to do so.

    (8) If it cannot be interpreted, such as where data is corrupted.

    (9) If it is considered to be pyramid schemes or which are canvassing for such a scheme.

    (10) If it includes content related to ideological beliefs, such as political views or religious advertising.

    (11) If it violates the law or public order and morals (prostitution, violence or cruelty, etc.)

    (12) If it abuses the Awards by using a name other than your own, by claiming to represent someone without any such right, or deceptively in cooperation or partnership with another person or organization.

    (13) Any other projects contrary to the Application Rules.

    Applicants should carefully consider that the contents of application include violations of these Application Rules in advance, and no inquiries on application details will be accepted by the Awards organizers. Should any submitted work involve a rights infringement and a dispute arises with a third party, the Applicant will resolve said dispute of its own accord.

  5. Handling of Contents of the Application
    • Contents of application must be capable of being processed by the Office. Please understand in advance that we will not return the data.
    • Upon completion of the application, the Applicant consents to freely and non-exclusively grant the Office the right to use the contents of the application without any restriction including the medium, period, distribution area or distribution method, and will not exercise its moral right of authorship over the Office.
    • While copyright on winning projects remains with the Applicant, the Applicant consents to freely grant the Office a copyright license for Japan Tourism Awards publicity, such as printed materials and the website.
  6. Other Precautions
    • The Applicant consents to these Application Rules and will participate in the Awards.
    • Operation of the Awards is contracted out by the Organizers to the Office.
    • If deemed necessary by the Office, the Office may take necessary measures to ensure the proper operation of the Awards, including making changes to the Application Rules.
    • When applying to the Awards, the Applicant will follow the Office's method of operation and will not make any objection to the method of operation.
    • The Office and the Organizers will bear no responsibility for any losses incurred due to issues such as connection difficulties arising from server problems.
    • The Applicant is solely responsible for the cost of making the application, including connection fees and telecommunication fees.
    • The Awards site may not display correctly in certain viewing environments.
    • If the application details are defective, the application may be considered invalid.
    • For any other inquiries, please contact the Office by email (info@jta.event-infodesk.com); however, no response can be given to inquiries regarding the assessment method or assessment results.
  7. Disclaimer & Compensation

    The Organizers will bear no liability whatsoever, even in the following circumstances.

    • Any loss or damage incurred by the Applicant, the Recommender or any third party as a proximate result of the Applicant's or Recommender's application for the Award.
    • Damage or loss incurred by the Recommender if the Recommender submits an entry without the Nominee's permission.
    • Damages incurred by Applicants and Recommenders in the acceptance, management, operation, etc. of the application.
    • If the Organizers determine that an Applicant or a Recommender has violated or is likely to violate these Terms and Conditions, the Organizers will take appropriate action, such as canceling the Applicant's or Recommender's entry or award, but will not be liable for any damages incurred by the Applicant or Recommender as a result of such violation.
    • In the event that an Applicant or Recommender causes damage to the Organizers, the Organizers reserve the right to claim compensation from the Applicant or Recommender.

Personal Information Protection Policy

  1. Policy for Handling of Personal Information
    The Japan Tourism Awards Applications Office, which is conducting the application process for the 2025 9th Japan Tourism Awards, is fully aware of its social mission regarding the protection of all personal information handled and will protect individual rights and observe laws and regulations on personal information. The Office will give prior notice and acquire consent when collecting personal information. Please read the following and only send personal information if you consent.
  2. Purpose of Use of Personal Information

    Personal information acquired from the Awards application form is used for the following purposes. Where personal information is to be used for purposes other than the following, we will additionally notify you of this purpose and acquire consent.

    (1) Receipt and processing of the Awards application

    (2) Assessment for the Awards

    (3) As a contact for the Awards (by email, telephone, post, FAX, etc.)

    (4) To post or deliver the selection results (via the website, etc.)

    (5) To send gifts to Award prize winners

    (6) To provide guidance on future seminars

    (7) To respond to inquiries (by email, telephone, etc.)

    (8) Where otherwise used on behalf of the customer for individual services within the extent for which consent was acquired

  3. Submission of Personal Information

    Individual data from personal information submitted will not be provided to any third party except in the following cases.

    (1) If the individual has consented.

    (2) If the law requires it.

    (3) If required for the protection of a person's life, body or assets and it would be difficult to acquire the individual's consent.

    (4) If particularly required to improve public health or promote the healthy development of a child and it would be difficult to acquire the individual's consent.

    (5) If required to cooperate with the execution of a task prescribed by law carried out by a government agency, local government organization or a subcontracted party, and if acquiring the consent of the individual would put the execution of said task at risk.

    (6) If all or part of the handling of personal information is subcontracted to the extent required to fulfil the purpose of use, in order to ensure smooth execution of the task.

  4. Disclosure of Personal Information to be Published

    Submitted personal information may be disclosed to a third party only in the following cases.

    • If a demand is made under the law or via a warrant.
    • If provided to JTB Communication Design, Inc., which has an obligation to observe clauses for the handling of personal information, to subcontract for the same purpose as collected and within the extent required to execute the task.
    • If required by the event organizer or joint organizers for the operation of a linked event.
  5. Safe Management of Personal Information
    Personal information will not be used for any purpose other than that stated in these rules. Appropriate and necessary measures will be taken to prevent or correct any disclosure, loss or corruption, and to safely manage the acquired personal information.
  6. Subcontracting of Handling of Personal Information
    The Organizers may subcontract the handling of personal information. However, in this event, the subcontract will be made to a business which satisfies the criteria in the Organizers' rules, and said business will be supervised to ensure appropriate management.
  7. Outcome for the Applicant if it chooses not to or cannot provide personal information to the Office
    The provision of personal information to the Organizers is voluntary. However, please understand in advance that if the necessary information is not provided the Organizers may be unable to provide the service.
  8. Contact Details for Disclosure, Correction and Requests to Cease Use of Personal Information
    We will comply with any request to notify the purpose of use, disclose, correct, append, delete, or deny use or provision of provided personal information. Any such request should be sent via the contact below. In such an event, the Organizers will confirm the individual making the request and respond within a reasonable time.
  9. Acquisition of Personal Information by Methods wherein the Individual Cannot Easily Acknowledge

    The Awards application form is used to acquire and manage only the personal information input by the Applicant. No personal information which is not intentionally provided by the Applicant, such as cookies, is collected.

    All communication with the Organizers site is protected using data encryption over SSL (Secure Sockets Layer), and servers are protected by firewalls.

    However, please understand in advance that due to the nature of the internet (TCP/IP communications) the security cannot be perfectly guaranteed.
